Subject: Grandma's 80th Birthday Party - Initial Thoughts!
Date: June 10, 2024
Hey guys,
Hope you're both doing well! I've been thinking a lot about Grandma's 80th birthday coming up in July, and I wanted to get some initial thoughts down and start coordinating. We absolutely have to make this a memorable one for her!
First off, dates. I'm leaning towards Saturday, July 20th, as it seems like a good weekend for most family members, but I'm open to Sunday, July 21st, if that works better for everyone. Let me know your thoughts on that first.
For the venue, I've done a bit of preliminary scouting. My top pick is The Willow Creek Hall. It's quite affordable, has a nice open space, and can comfortably accommodate about 50-60 people. The other option I looked at was The Garden Bistro, which is a bit fancier but also pricier, and its capacity is limited to around 40 guests maximum. Given our current draft guest list, I think Willow Creek is the more practical choice.
Speaking of the guest list, I've put together a preliminary list of about 55 people. Could you both please go through it and add anyone I might have missed or suggest any deletions? Specifically, I'm thinking about Aunt Carol's extended family and some of Grandma's newer bridge club friends – I'm not sure if I have all their contact details.
Regarding food, I'm torn between a potluck to save costs, or just getting a caterer for an Italian buffet. While a potluck could be fun, catering would definitely reduce stress on the day. I'm leaning towards catering if we can fit it into the budget.
Emily, you're always so creative with decorations and cakes. Do you have any initial ideas? For gifts, I was thinking we could all contribute to a collective fund for something she really wants, rather than everyone getting individual gifts.
Mark, could you do me a huge favour and call The Willow Creek Hall to check their availability for July 20th (and 21st, just in case) and get a detailed quote? Emily, please review the guest list and start brainstorming decor ideas.
Let's try to schedule a quick call or video chat early next week to firm things up.
Best,
Sarah

Hi Sarah and Emily,
Thanks for getting the ball rolling on Grandma's party, Sarah! I'm definitely on board with making her 80th special.
Regarding the dates, Saturday, July 20th, sounds like the best option for me too. I'll make sure to The Willow Creek Hall first thing tomorrow morning to check its availability for both days and get that detailed quote you asked for.
I agree that would probably be less stressful, especially with a larger group. A potluck can be tricky to coordinate. Your guest list draft looks pretty solid, though I think we should Uncle David and his family – they're usually up for a celebration. Also, maybe double-check if Sarah's old college roommate, Brenda, is still in touch with Grandma.
The idea of a for Grandma's gift is excellent. It ensures she gets something truly meaningful without duplication. Emily, I'm excited to see what you come up with for the decorations!
Let's definitely early next week to consolidate everything. Looking forward to it!
Cheers,
Mark
